Kerry here from MyQuickBookKeeping.

One of the first things you want to do when you set up your QuickBooks' online file

is to create the products and services you'll be selling.

If you have not already done so, check out my video about personalizing your Chart of

Accounts.

When you've done that, you're ready to create the products and services you're selling

in your business.

Be sure to watch right until the end.

If all steps are completed accurately, it will also help with the accurate filing of

your sales tax returns and ensure you claim all the credits you're entitled to.

We're going to use a QuickBooks sample company again today, Long for Success – Event Planning.

See what products and services they offer.

Select the cog in the right top hand corner and choose Products and Services under Lists.

The services provided are split between Employee Events, General Services, Holiday Party, Promotional

Items, and Retreat.

Let's have a look at Silver Holiday Party.

It's a service that's sold to customers and posted to the account Sales.

That's not very imaginative!

Here's where you could have different income accounts set up to show a breakdown of sales

so you'd be able to run reports and see what percentage of your business came from

holiday parties, for example.

Note there's no tax selected here.

If you set a default tax code, it will be displayed every time you sell that product

or service.

That will save you time when you create invoices.

You will only have to edit it if the normal code does not apply.

Let's use the GST code.

Now, let's have a look at Product.

How about Guest Books?

Here we go.

This is an Inventory item and it has a SKU.

And account Quantity is 20.

You can enter a Reorder Point here so you don't run out of whatever it is that you sell.

Let's enter 10.

You will receive an alert for selling another 10 without reordering.

Next, we have a physical inventory of Guest Books.

They're included as an Inventory Asset.

They'll appear in our balance sheet in Costs.

And here is where it gets very interesting.

When we sell a guest book for $25, we'll have income under Sales of Product Income

for $25.

We will also record a cost of sales of $12.50.

And this amount will be reduced from the inventory.

statement.

Now, let's set up a Service to use in this business.

Select New.

And to keep things simple, let's make it a Service.

Now, how about we add a Thanksgiving Holiday Party.

The name will be Thanksgiving.

It will be included under the category Holiday Party.

When you sell it, the invoice will say Thanksgiving Dinner.

Let's set a price of $1,500.

And now, we'll show it in, I guess, Sales.

Sales tax code we will apply to this item will be HST.

Let's go with Ontario.

Note that you should get proper advice about what to apply to your products and services

from your accountant and it will change based on where you live and where you sell to.

Now Save and Close.

In order to see how this works when we create an invoice, let's select Invoices across the

top here.

You could also access invoices from across at the top right hand corner.

Let's select the customer and we'll sell him a Thanksgiving Dinner.

Since this is a special occasion, let's add a Guest Book.

Here we go.

Here's our guest book.

And, as you can see, the default tax code is being filled in automatically.

Let's put this one in here too.

I'm going to change the date to next month.

Here we go.

Let's put it on October.

So I can run reports and show you how to sync tax to financial statements.

And now, we will save the invoice.

On the left hand tab, select Reports and choose Profit and Loss.

Let's use custom dating so we can find that transaction we just created.

Here we go.

And run the report.

And here, we have Sales $1,500, which was our Thanksgiving Dinner, Sales of Product

for $25, the Guest Book, and also we have the Cost of Sales of $12.50, which was the

cost of the Guest Book.

So by setting up the products and services, when we completed our invoices, it's easy

to select the items and our reporting was then accurately updated.

Now let's see how many Guest Books we have.

Scroll down here.

Oh look!

It's all updated.

It works!

Now, without confusing things too much, let's have a look at the taxes.

There's another video to explain how to do this in detail so this is for illustration

only.

So let's change this date to include October.

Where are we?

Here we go.

Now we've got October.

That's it.

And we go in this tax collected.

And here we have our invoice.

The tax is being collected and everything will be ready once we come to complete our

sales tax return.

By setting up your products and services accurately at the beginning, your profit and loss in

the balance sheet will be correct and filing your sales taxes will be a breeze.

Now, let's have a quick look at the reporting you can get from the product section.

From the dropdown, select Run Report.

Now, if we scroll down, we can see the Thanksgiving Dinner.

Here we go.

And the Guest Book.

The Guest Book also shows the Cost.

So you're able to see the profit that you've made and also the quantity that you have left

on hand.

We certainly covered a lot.

I had two kids, I was a widow, I didn't know English.

It was tough.

And the first step was step was Northern Essex.

I wouldn't be able to do it without their help.

I didn't know what I wanted to do, but I knew it was something working with people.

I want to make a difference.

Northern Essex was right there, the cost is great.

The Human Services I feel like it's a very tight-knit community based on where you work.

The people I'm in class with are the professionals that I'm going to be next to when I do end

up, you know, getting a full-time job in the field.

Going to a counselor, it's something very personal, so I feel like this class especially

is giving us the skills to be able to make that personal connection with them.

Okay, I've learned all this but what am I going to apply it and that's when your internship

comes into play.

I'm taking my skill and incorporating what I've learned, modalities of treatment, behavioral

management, I know how to work with these people

because now you have the tools to know that.

I'm a helper naturally.

I want to be there for people who are going through the same situations.

They don't know the language or people don't understand the culture.

I do understand anyone I want to be there for them because there were people who were

there for me.

Pretty much every business requires someone in a human service professions.

I started out wanting to work with kids now I'm doing elder activities or I could go a

direction of Social Work and you could of anyone in Social Work you go into a domestic

violence advocacy program, alcohol and drug counseling, general counseling, there's literally

nothing you can't do with it.

I got to meet like great people, great professors, I feel like I'm getting experienced professors

who haven't always been in an academic setting they've been out in the field working they

can tell me what to expect, they can tell me how to deal with problems I might encounter.

They care about you individually.

I was thinking sometimes I'm not going to finish, I'm not going to do it, it's too much

but they always say it yes you can do it you're going to do it and I did it on time.

They've done a great job of making me feel like, all right now that I'm preparing to graduate

now I have that tool and I feel like Northern Essex gave me that tool in order to better

myself and hopefully better other people's lives.

I definitely feel like I have a good support team.

It's really well run and I feel like it definitely prepares me to be in the field.

I'm more confident now and now I started my master's degree at Salem State I did it there's

no reason other people can't and I thought I couldn't.

Northern Essex to made a difference in my life.

Let us look at a few examples explaining how to proceed when you receive a gift of a website or software.

Your charity hires a small software company to build a website to meet the specific needs of your charity. The company charges $250 per hour and the website will take 60 hours to build, for a total cost of $15,000.

Upon completion of the website, the company suggests that, rather than invoice the charity for payment, it will be willing to accept a donation receipt for $15,000.

Can you give a donation receipt to the software company for $15,000?

If you said "No," you are correct. Creating the website is a result of time, skill and effort, a nd donation receipts cannot be given for gifts of service.

Upon analyzing the charity's specifications, the small software company states that they have a pre-designed software product, a website template that was designed just for charities.

The software company sells this product for $3,000. The company is willing to freely donate this product to the charity.

If your charity accepts this as a gift, can you issue a donation receipt for the $3,000 software product?

Yes, you can issue a donation receipt for $3,000 as long as you have documents to confirm that this is the fair market value of the software product.

To summarize, what has changed between these two examples to allow a donation receipt?

In the first example, there is no product, just the need for time, skill and effort to create the customized product. In the second example, the software company has a finished off-the-shelf software product, a property that sells in a free and open market.

Should you offer discounts on your products and services? - Duration: 5:11.

hey guys and welcome back today I want to talk a little bit more about

discounts and whether you should ever offer discounts on your products or

services

first let's talk a little bit more about why people offer discounts to begin with

oftentimes it is to move product to move your services to sell more however it

can come off as desperate oftentimes when we see someone discounting

something we start to wonder why it's being discounted what is the true value

of that product or service because it's being discounted if you offer discounts

it can often send the wrong message if here you have established this value for

the service or product that you offer you've told everyone this is what it's

worth this is what it's priced at and then you turn around and say well no

actually on these certain other days of the year or this week only it's actually

worth something completely different and it's really hard to build that value

back up again after you've discounted it and told everyone it's actually worth

less I want to point out that it's much more widely accepted to discount

products than it is to discount services now with products often it is a

mass-produced thing every product is essentially the same there's no real

level of customization there so you can get away with discounting more easily

especially when it comes to you know certain times of the year or trying to

move more of them because by bringing the value of it down or bringing the

price of it down you're not necessarily devaluing the product itself because the

product stays the same yet with a service often times you are with the

client is dying or they are buying a customized experience and so when you

drop the price of that and you devalue that it's a lot harder for a client to

understand why it might go back up later or why it was that price in the first

place plus customers tend to understand that when they are buying a product they

are buying not just the cost of the materials themselves they go into the

product they know there's markups involved they know there's you know

depending on how many different stops the product has to make to get to the

consumer or how many different distribution channels there are you know

that's gonna change the price of a product so and we all kind of

know how that works so when we see you know at you know Walmart or anywhere

else the price of something dropped we're we're not as often put off by that

and that doesn't in our minds devalue the product itself but with a service if

you discount it you are devaluing it and you are

compromising the overall view of your service and what it entails so you have

to be really really careful about that and honestly myself I don't believe in

discounting my services they are what they are because my services are

customized my services are working with you know individuals or students or

anything else to consult with them and give them feedback on their businesses

that is something where my level of knowledge or expertise or experience or

advice that I'm giving that doesn't change based on the day of the week or

the month or because I just feel like booking more clients this month that's

not gonna change anything so I can't devalue my expertise in my education and

all of this these background pieces that go into the price of my service yep on

the flip side of that with the pricing workbook for example I am NOT as

attached to the price of that that the work of yourself isn't gonna change no

matter how many I sell any given year so that's something where I would be more

open to discounting it if I needed to sell more of them or if I wanted to open

up sales for a particular audience that is a product that is something I don't

mind putting a discount on my services no way not gonna discount those not

gonna devalue those because those are based on a personal experience with each

of my clients so now what can you do instead of discounting you can add value

to what you already have so whether this might come in the form of giving an

extra bonus or giving more of your time to a client or giving an additional

service that you add on to your current service that they're looking at whatever

that might be by adding value by giving them more you

can often still have that and send for them to hire you or work with you or

buy your product than just by discounting it so there you have it

This video will explain what are gifts of service and will cover examples on why they are not receiptable.

What is a gift?

A gift is a donation that is freely or voluntarily given. If a donation is made because of an obligation, it is not a gift.

Simply making a donation to a charity or other qualified donee is not enough for a donation receipt to be issued.

You also must decide if the donation involves a transfer of property. Gifts of property include cash or non-cash gifts like equipment, food, stocks and bonds, and so on.

Gifts of service are donated time, skills, and effort.

They are not a transfer of property.

Therefore; donation receipts cannot be issued for donations of gifts of service.

Although they are valuable to a charity, donations of time, skill and effort, are not considered a transfer of property.

Although I may freely volunteer my time, skill and effort, as an accountant to do your financial statements, you have not received any property.

Let's take a look at various scenarios to help make sense of how to handle gifts of service.

Tonya, a professional freelance journalist, offers to write several articles to support a fundraising campaign for your charity.

Her services are worth $500, but Tonya offers to accept an official donation receipt instead of a payment to help keep your charity's expenses down.

Can you issue an official donation receipt to Tonya?

No. You can't issue an official donation receipt because Tonya is donating her time, skills and effort, which are not property.

You need to build more shelves for bulk items in the food bank. You hire Joe's Carpentry Company to build the shelving at a cost of $500.

To help your charity, Joe's Carpentry Company wants to donate the building material worth $200 and charge only for the labour, which is worth $300.

Can you issue an official donation receipt for this kind of donation?

Yes, you can issue an official donation receipt for the building materials because it is a transfer of property. However, you have to determine the fair market value of the building materials.

After having paid Joe's Carpentry Company for its services, you receive a $300 cheque from the company in the mail. The $300 donation is the same amount you paid Joe's Carpentry Company for its services.

Can you issue a receipt for this donation?

Yes. You can issue Joe's Carpentry Company an official donation receipt for the cash donation of $300.

This cash donation is considered property which was given voluntarily by the company in a transaction separate from the carpentry services it provided.This is commonly called "exchange of cheques."

To summarize, you cannot issue receipts for gifts of services. There are no exceptions.

Circumstances where donation receipts can be issued for donations of property such as cash and non-cash gifts are explained more fully in our video, "Gifting and receipting 101."
